Missed Calls in the Field: Text-Back vs Answering Service vs AI Receptionist

A plain comparison for a contractor with about 10 to 20 people. No vendor names, and no claim about what the market charges.

The crew is on a roof, in a crawl space, or under a sink. The call hits voicemail. This page is about three ways that silence gets answered, and what each one is bad at.

How does each one work?

Text-back: the missed call triggers a short text. The caller is not met with silence. Someone at the shop still has to reply or call back.

Answering service: a person picks up, asks for the name, address, and problem, and sends that to the office. The office still decides what happens next.

AI receptionist: a script the owner approved asks those same questions and sends the office a summary. It is working from the rules you wrote. It is not a technician.

Which combinations make sense?

Text-back during the day, when the office manager is already with a customer, plus the shop's answering service or an AI receptionist the shop already uses after hours. We can write the questions and the handoff for that option. We do not set up or run an AI receptionist. The office manager still decides who goes where.

None of these replaces the crew. They only change what happens to the call that nobody could pick up.

How can Ardykay set this up?

We set this up for you as missed-call text-back, in the Google email, calendar, and spreadsheets the shop already uses, plus a texting number set up for missed calls on your shop line. We also write the questions and the handoff for whichever after-hours option the shop picks: its own answering service, or an AI receptionist it already uses. We do not set up an AI receptionist. Missed-call texting needs a business texting number registered with the phone carriers, so it can take a little longer to start than the follow-up drafts. The first helper, such as the estimate follow-up drafts or the morning list of what is stuck, is working from day one of the build, so the office can win back hours spent chasing missed calls. A person still sends anything that goes to a customer, and a person still decides whether a truck rolls.

Questions

Is an AI receptionist the same thing as an answering service?

No. An answering service is a person who picks up, writes down the job, and passes it to the office. An AI receptionist asks a script the owner approved and sends the office a summary. Neither one diagnoses the equipment or quotes a price. Ardykay does not set up an AI receptionist. We can write the questions and the handoff for an answering service the shop already uses, or for an AI receptionist the shop already uses.

Can a text-back handle an emergency call?

It can tell the caller you saw the missed call and ask them to reply with the address and what is happening. It cannot decide to roll a truck. A person still makes that decision.

Do I have to pick only one?

No. A common mix is text-back when the office is already on a job, and the shop's answering service or an AI receptionist it already uses after hours. Ardykay can write the questions and the handoff. Ardykay does not set up an AI receptionist. The office manager still owns the schedule.
